PR that structures communication for a major financial event

Industry:

Financial Services

Background and context

The European Financial Congress is one of the most important economic events in Poland – a forum for dialogue among leaders of the financial sector, technology, energy and public administration. The scale of the congress and its significance for economic debate translate into highly intensive media operations within a short timeframe.

Key circumstances

  • Several hundred panelists and experts, with debates taking place in parallel.
  • A large number of accredited journalists from national and industry media outlets.
  • High expectations regarding access to experts, materials and the efficient operation of the press office.
  • The need for ongoing content production throughout the duration of the congress.

Communication objectives

The objective was to ensure efficient, professional operation of the EKF Press Office during the congress and to support the event’s media presence.
  • Efficient management of media accreditations.
  • Ongoing support for journalists in their contact with EKF experts and partners.
  • Ensuring continuous access to written and photographic materials.
  • Efficient organisation of interviews and media contacts during the event.
  • Enabling the rapid publication of content from debates and panels.

Strategic approach

The activities focused on operational and process-based support for the congress’s media communication throughout the event.

Key elements of the approach:

  • Work of a six-person media relations team within the EKF Press Office, including a consultant fluent in English.
  • Registration and handling of media accreditations – both prior to the event and on site.
  • Ongoing cooperation with partner media present at the congress.
  • Arranging interviews between journalists and experts, and supporting contacts with the communication teams of EKF partners.
  • Coordination of photographic materials from the debates and their distribution to media and partners.
  • Preparation and distribution of written reports from debates, as well as daily summaries of the congress.
  • Drafting quotes from panelists’ statements for further media communication.
  • Distribution of congress materials to a broad media database.
  • Live coverage on the EKF LinkedIn profile during the event (reports from each panel).

Results

Our work resulted in:
  • Efficient operation of the Press Office throughout the entire congress.
  • High visibility of EKF in national, industry and business media.
  • Increased expert citations through the publication of panel content immediately after each session.
  • Strengthening EKF’s position as a key platform for financial debate in the region.

Conclusions and strategic significance:

  • A well-organised press office is crucial to the perception of large-scale economic events.
  • Real-time operations increase the usability and relevance of content for the media.
  • Clear processes and role division enable the effective handling of a large number of stakeholders within a short timeframe.
  • An experienced media relations team provides essential support to organisers of highly visible events.
